Dear Scholarships and Financial Aid Office,

I am writing to request reconsideration of the suspension notice I received on September 25 regarding my President’s Renewable Scholarship (PRS). The notice states that my Fall disbursement has been placed on hold because my registered credit hours total 9, which is below the 12-credit full-time threshold. I acknowledge the usual requirement; however, I believe my current academic load satisfies full-time status under the PRS policy when co-operative education is taken into account.

Specifically, PRS §4.3(b) indicates that “a designated co-operative education work term recorded on the transcript as full-time (FTE), including courses coded at 0.00 credits, satisfies the full-time registration requirement for scholarship purposes.” Section §4.3(c) further clarifies that a combination of for-credit coursework with a concurrent co-op term may be used to establish eligibility. I am registered in ENGR 399 (Co-op Work Term, 0.00 credits, full-time FTE) from September 3 to December 20, alongside three courses totalling 9 credits (MATH 302, ENGR 310, ENGR 345). My sessional GPA last year was 3.74, exceeding the 3.20 minimum.

I contacted Awards Advising on September 26 and was told “the system reads credits, not FTE,” which is likely why the hold triggered. I have attached: (1) the Co-op Office enrolment confirmation; (2) my employer letter from North Coast Robotics (start date September 3, supervisor contact); and (3) a current registration screenshot showing ENGR 399 as full-time. Because tuition is due October 2 and an account hold posts on October 3, I respectfully ask that my file be reviewed by September 30 if possible so that my scholarship can be released before the late-fee window.

If, after review, the PRS cannot recognize ENGR 399 for full-time status this term, I request guidance on alternatives acceptable under policy: (a) pro-rating the PRS to 75% based on 9/12 credits; or (b) deferring the Fall disbursement to Winter while preserving my renewal standing and merit eligibility. I am also prepared to enrol in an October 1 late-start 3-credit mini-course if and only if that is the required remedy; I would appreciate confirmation before making that change.

Thank you for your consideration. Please advise whether any additional documentation (e.g., Co-op Verification Form) is required to finalize the decision.

Sincerely,
Daniel Okoye

4. Why does Daniel request an expedited review by September 30?
5. In the sentence, “I contacted Awards Advising … and was told ‘the system reads credits, not FTE,’ which is likely why the hold triggered,” what does “the system” most likely refer to?
6. Which action does Daniel NOT explicitly request in his email?
